Making Your Point with Pictures Facility AuditMate been designed to make adding photographs and CAD drawings part of your record. As long as they are in digital form-images that are scanned or photographed with a digital camera, as well as drawings produced by CAD programs-you can access them easily through Facility AuditMate, where they will always be linked to the relevant facilities data. Facility AuditMate incorporates a viewer for .dwg, .dxf, .jpg, and .bmp files. Linking files to relevant components and subsystems is simple. You don't have to create a special Facility AuditMate folder for your images, but simply create links to their location on your hard drive or anywhere on your network:

Sorting Records in the Facility Table To view the list of facilities in your plant, go to the Utilities section of Facility AuditMate and click on the Facilities tab. By default, the facilities will be sorted by the number column. If you would like to re-sort the facilities in alphabetical order by facility name instead, then right-click in the facility name column and select the "Re-sort by this column" choice in the shortcut menu. You can use the same routine to sort the table by the Gross Square Feet, Year Built, and Category columns. Just remember to right-click in the column that you want to re-sort. |

Exporting to Microsoft® Excel® Each of the 34 reports that can be automatically previewed and printed from AuditMate can also be exported to Microsoft® Excel® for your specific presentation needs. From the Report screen, simply highlight the desired report, click the Export to Excel button on the toolbar, and wait for the report to be automatically and accurately transposed into a Microsoft® Excel® spreadsheet file. You will be asked to name and save the file. All you will need to do at that point is to open Excel and then open the file. You can even leave AuditMate open while you do this. |

Deleting Individual Building Component Records From time to time you will need to delete component records for specific buildings from your database. This is done from either the Select Components screen or the Enter Field Data screen. On the bottom portion of either screen, right-click the component record that you want to delete and choose delete from the shortcut menu. Click Yes to confirm the deletion. You can also delete records by selecting the record and choosing Edit...Delete Record(s) from the menu bar. |

Deleting Multiple Building Component Records You can delete more than one record at a time by holding down the Control (Ctrl) key and selecting multiple records. When deleting multiple records, however, you must use Edit...Delete Record(s) from the menu bar. You can also delete all of the component records of a facility by first clicking Edit...Select All and then Edit...Delete Record(s) from the menu bar. |

Backing up your Data Facility AuditMate is a database program and therefore it is essential that your facility data be safely backed up on a regular basis. Data is stored in a Microsoft Access file format. If AuditMate has been installed on an individual workstation, this data file will probably be stored in the C:\Fam folder and it will probably be named Lc32.mdb. Even with a large physical plant, LC32.mdb will usually remain under 1.44 MB in size and therefore can be easily copied to a floppy disk. If you are using AuditMate on a network, it is recommended to store the data file on a network computer that is regularly backed up by the network administrator. |

Adjusting Unit Cost And Life Span Figures It takes just a few clicks of the mouse in Facility AuditMate to adjust unit cost and life span figures. Starting from the Main Switchboard, just click on the Utilities button and then on the Component tab. Click on the arrows on the drop-down menu to select the class and subclass of record that you would like to change. Then select the unit cost or life span for the item you would like to update and make your change. All reports will be recalculated automatically. Facility AuditMate also gives you the ability to update groups of unit costs at once. In the Utilities screen, click on the Calculations tab. Then chose one of the three unit cost categories (all unit costs, all components in a single class, or all components in a subclass) and enter your adjustment factor. All unit costs for every component in the group you chose will automatically be updated. |
